Quickstart

The shortest path from a new account to a test call the assistant answers.

This is the fastest route to hearing the assistant answer. It uses your account's sandbox CRM, so you do not need your real WelcomeHome account yet, and nothing you do here reaches a real caller.

Allow about thirty minutes. You need to be an owner or an admin of the account.

The app uses your own words. This guide says "community" and "tour" because that is what a senior living account usually chooses under Settings → Your terms. If your account says "location" and "meeting", read those instead.

  1. Sign in

    Open the link in your invitation email and set a password, then sign in at your account's admin address.

    You land on Overview, which shows a Getting started list. The steps below are that list, in order.

    Overview tracks what is left before the assistant can answer your calls.
  2. Check your sandbox CRM

    Go to Connections. Every account is created with a connection called WelcomeHome Sandbox, marked Sandbox, sample data and already connected. It behaves exactly like WelcomeHome, with its own sample communities, counselors and prospects.

    Leave your real WelcomeHome connection until later. Connect WelcomeHome covers it.

  3. Fill in one community profile

    Go to Communities and open one. Under Details, fill in at least the name callers hear and the time zone; under Location, the address; under Hours and closures, the opening hours and a booking window; and under Staff, one staff member. Press Save to unpublished changes in each section before moving on.

    The panel at the top of the tab lists the values your account playbook expects. Anything marked not filled in comes out as a gap in what callers hear.

  4. Add the human backup plan

    Still in the community, open the Human backup tab. Add staffed hours, a backup phone number in international format, and at least one email address to notify about callbacks. Press Save human backup.

    Warning

    A playbook cannot go live for a community until this plan is complete. The page tells you exactly what is missing.

  5. Create a playbook

    Go to Playbooks and press New playbook. Give it a name your team will recognise, choose Start from a ready-made starting point, and press Create and start setup.

  6. Work through the six setup steps

    The guided setup opens at step 1 of 6: Company and offer, Voice, Questions, Booking rules, Guardrails, CRM. Everything saves as you type.

    Six steps. You can skip to the editor at any point and come back.

    For the quickstart, the fastest path is: fill in the agent name, company and tone; pick a voice you like; leave the starting questions and the starting booking rules as they are; leave the guardrail defaults on; and on the CRM step choose WelcomeHome Sandbox for both the CRM and the calendar. Press Finish setup.

  7. Check the publish checklist

    The toolbar at the top of the editor says how many items are left to fix, and Publish stays greyed out until nothing is. Click the count to open the Ready to publish? checklist: every item with a red icon is something you must fix; click the message to jump to the field.

    The most common thing left over is the brief: it wants 300 to 800 words describing what you offer, who it is for and exactly what may be said about price.

  8. Call the draft

    Press Call the draft at the top of the editor. Choose the community you filled in and press the button again. Allow your browser to use the microphone, and talk to the assistant as a family member would.

    The live transcript and the booking rule that fired appear as you talk.

    Test calls are not billed and are not written to your CRM.

    Note

    If something goes wrong. No sound, or a microphone warning: allow microphone access in the browser and try again. If browser calling is not available for your account, the panel says so and points you at your account's test number instead — point that number at this playbook's draft under Phone numbers, then call it from any phone.

  9. See what it recorded

    Open Calls and click the call you just made. You get the summary, what the caller told you, the booking rule that fired, and the full transcript.

    Then press Open sandbox CRM in the top bar to see the same call from your sales team's side.

What good looks like#

  • The assistant says it is an AI in its first sentence, and uses your community's name.
  • It asks your questions one at a time and does not repeat itself.
  • It offers two specific tour times and confirms the details back to you.
  • Calls shows the call with an outcome and a rule that fired.
  • The sandbox CRM shows a prospect, a logged call with a summary, and a scheduled tour.
