Community booking pages

A booking page for a community’s team: round robin or people choose who, returning leads get their own rep, and pages that ask the service first.

A community booking page is a link where people book a tour with a community's team rather than one person. Each tour goes to one rep on the page, on that rep's own calendar and inside their own hours, exactly like a rep's own page. There is no "everyone at once" kind of meeting.

Owners and admins manage every community's pages; a group manager manages the pages of their own communities. Community pages are part of the same add-on as reps' pages, and bookings made on them are included, not charged like calls.

What people see#

The community's link lists its pages, like getanswerstack.com/book/sunrise/maple-grove.

A page that asks for the service first shows the community's services before any times. The times are then only those of the reps who handle what they picked.

On a page where people choose who to meet, they see Anyone on top and then each person on the page. Picking a person shows only that person's times.

The rest is the same as a rep's page: their details, the confirmation with who they will meet, the reminders and the link to reschedule or cancel. A moved tour stays with the same rep.

Make a page#

Open the community, then its Booking pages tab. The first time, the community's link name is made from its name; press Change to pick another. Old page links keep working for 90 days.

Press New page. The editor has the same tabs as a rep's page, plus Members. On Basics, Service sets whether the page is for Any service, for one service, or Ask them to pick one first. The When tab can also limit the page to only these hours, as well as each person's own.

Members#

The community's sales reps are on a new page already. Add someone else lists anyone else in the account who can take tours; they are marked Not on this community's staff. Each person shows whether they can be booked: someone with no calendar connected is marked Not bookable until their calendar is connected and is skipped until it is.

SettingWhat it does
Round robinPeople see every open time of everyone on the page. Whoever is free at the time they pick gets the tour, taking turns.
People choose who to meetThey pick a person, or Anyone, before the times.
Taking turns byEqual shares (by weight) over 30 days, or Whoever has the fewest that day. Higher priority people are offered first either way.
A returning lead gets their own repSomeone the CRM already knows, whose sales counselor is on the page, gets that person when they are free at the time picked. On by default.
HoursEach person's default hours, or another of their schedules.
Priority and Weight (round robin only)High, medium or low; a weight of 2 gets about twice the tours of a weight of 1.
Handles here (someone off the staff only)For a community whose reps specialize: the services this person takes on this page. Staff take what their profile says they Handle.

Returning leads#

A person the CRM already knows gets their own rep: on community pages, on calls once they confirm who they are, and in the website chat once they give their email or phone number and then their name, which the chat asks for rather than saying the one on the record. Someone who opens a page from the link in their own confirmation email is shown their rep's times first, with See other team members' times a click away. If their rep is not free, anyone else on the page can take the tour.

The overview#

Booking pages in the main menu lists every page in the account, reps' and communities', with whose it is, its community, its status, tours this month and anything that stops it taking bookings. A group manager sees their own communities' pages.

Pause, change or remove#

Pause, Edit and Remove work like on a rep's page. A page with no one who can be booked says so on its card and on the overview, and its link says it is not taking bookings.
