Using the app
My calendar
Connect your own Google or Microsoft 365 calendar, or use your CRM, so the tours you give are booked where you keep them, only when you are free.
Calendar, in your Personal settings, is where you connect your own calendar. Once it is connected, every tour the assistant books with you goes straight onto it, and you are only offered at times your calendar shows you as free. It is there for everyone on the team, including Sales reps.
You can also keep your tours in your CRM instead; see Use your CRM. When you take tours is set under Availability.

Connect your calendar#
Open Calendar
Sign in to AnswerStack, open the account menu (top right), choose Personal settings, then Calendar.
Choose Google or Microsoft 365
Press Connect Google or Connect Microsoft 365, whichever your work calendar is. A window opens where you sign in with that account.
Allow access
Allow every permission AnswerStack asks for. If you untick one, nothing is saved and you are asked to start again. Finish in the same browser where you are signed in to AnswerStack: only the person who started a sign-in can finish it, so a sign-in link passed to someone else saves nothing.
Check it says Connected
Back on Calendar, your calendar shows Connected with the account you signed in with.
How your tours reach you#
Your tours are booked on your calendar when a community's staff list has an entry linked to your login. Calendar shows the sign-in email your admin will see in the list. If you are not on a staff list, ask your admin to add you on the community's Staff section and choose your login in the entry; the entry then shows Google calendar connected or Microsoft 365 calendar connected.
This holds whatever calendar the community's playbook uses: once you have connected yours, calls, the website chat, the caller's follow-up page and booking pages all book you on it, and none of them offers a time another of them already booked you for. The tour is also noted in your CRM, as for any tour. The playbook's own calendar only books the reps who have not connected one.
When a tour is booked:
- it appears on your calendar with the booking notes: what the caller told the assistant and a short summary, so you walk in prepared;
- the caller gets AnswerStack's own confirmation, not an invitation from your calendar, unless your admin turned calendar invitations on. Then the booking notes are left off the event, because the caller would see them;
- if the caller cancels, the event is removed from your calendar.
Use your CRM instead#
If your account's CRM can hold your calendar, Calendar shows Or keep them in your CRM. Press Use and the CRM's name. Your tours are then booked in the CRM on your user there, and you are offered only when the CRM shows you free, at any community. If you had a Google or Microsoft 365 calendar connected, it is disconnected; you are asked first.
This needs your admin to have linked your CRM user on your staff entry. Calendar tells you if they have not. Your admin can also set you to the CRM from Settings → Team, unless you use your own calendar.
If it stops working#
If your calendar access stops working, for example because you changed your password or removed AnswerStack in your Google or Microsoft account, Calendar shows Not working. Until you fix it, no tours are booked for you on calls, the website chat or booking pages: you are not handed to the playbook's own calendar instead. Your owners and admins see the same warning in your Hours on Settings → Team. Press Reconnect and sign in again.
Check it works runs the same check on demand.
Disconnect#
Disconnect stops tours being booked for you. Tours already booked stay on your calendar. For Google, AnswerStack also gives its access back to Google. Microsoft does not let an app do that, so to remove AnswerStack from your Microsoft account entirely, remove it under your Microsoft account's app permissions.
What AnswerStack can see#
Only what it needs: when you are busy, so it offers free times, and the events it created itself. It does not read your other events.
