Using the app
Settings
The list of account-wide settings: the account name, team, billing, usage, login security, your terms, caller vocabulary, recording, Insights, brands, emails and the website widget.
Settings is a list of pages, in four groups. Choose Settings at the bottom of the main menu, then a page from the list.

Owners, admins, editors and viewers see Settings. Only owners can change General, Your terms, Caller vocabulary, and Recording and notes; the other pages say who can change what on them. Team is only for owners and admins, and Billing and Usage only for owners, admins and viewers.
Your own name, time zone, email, password and calendar are not here: they are in your Personal settings.
General#
Account name is what your team sees in the admin app. It does not reach callers — what callers hear comes from the playbook's Company field and each community's Name callers hear.
Compliance mode is shown read-only, and off for every account today.
Warning
HIPAA-grade mode is not available yet. Do not use this account for calls that require it. See HIPAA status.
Sample data appears if your account came with a sample community and playbook. The owner can hide them when they are no longer needed. Nothing is deleted, and you can show them again at any time.
Your terms#
This is the setting that changes the most screens. It decides the nouns the app and the assistant use, so everything sounds like your business rather than like software.

Change a word and it changes everywhere at once:
- The left-hand menu: Communities instead of Locations.
- Page titles, table columns, empty states and help text.
- The booking rules builder: Book a tour, Move their existing tour.
- The assistant itself, wherever your playbook uses
{'{{vocab.meeting}}'}and friends.
Tip
Agree the words with your team before you go live. Changing "tour" to "visit" after a hundred calls is harmless, but the transcripts you already have keep the old wording in their summaries.

Because of this setting, the rest of this documentation and your app may differ. Where these pages say "community" and "tour", read whatever your account chose.
Caller vocabulary#
Caller vocabulary is the words and phrases your callers say, which is different from your terms (what you call things). The assistant already knows the everyday ways people say things. Add what is special to your business, such as a program name or a local phrase. Every playbook hears them once it is next published.
Recording and notes#
Call recording decides whether calls are recorded:
- Let each playbook decide (recorded by default). Each playbook, and each community unless you lock it, can turn recording off.
- Record every call. No playbook or community can turn it off.
- Never record calls. No call in this account is recorded.
Callers can always ask not to be recorded, and then that call is not. Transferred calls are recorded through to the end, including the part with your team member, who is told when the call is handed to them. See Recording.
Live notes on handed-off calls appears if your account has live notes. When the assistant hands a call to a team member's phone, it stays on silently and takes notes they can correct:
- On. Each community can turn it off on its Human backup tab.
- On everywhere. No community can turn it off.
- Off. Calls handed to your team are noted up to the handoff.
